SAP R/3 users that regularly ship a large amount of packages via UPS know the problem: On one hand the UPS software Worldship enables an easy label print and data transfer to UPS, but on the other hand in many cases this application results in a double-entry of data. clavisEspressivo provides you a solution to arrange your shipping processes significantly more effective. And additionally you can still use the familiar Worldship functions .

All Functions Directly Integrated into SAP R/3

The principle concept of clavisEspressivo is based on an optimum utilisation of the SAP R/3 system data and functions. Furthermore we have developed additional modules and functions that are integrated completely into the SAP R/3 processes. Thus the double-entry of packing and shipping data is omitted and concomitantly all ongoing procedures can continue in the usual application environment. The UPS -relevant components like labels, delivery lists, file formats, etc. have been developed in close cooperation with UPS.

  1. Data entry in SAP R/3: To enter packing data so called handling units (HU) are created in SAP R/3 . A handling unit represents a physical package that can be moved as one unit and uniquely identified by its HU number. Its data structure consists of one load carrier and data on the goods and material contained (like address, weight and material number) that can be used appropriately for further processing. The unique HU number and the associated data are sent to UPS. Thus a particular HU can be identified at any time. Moreover, by use of our add-on module “automated packing” the effort for manual data entry can be reduced drastically.
  2. Label printing: Label printing is performed by use of a new message type that is defined within the standard functionality “delivery output”. Data are sent to the label printer in an automatically edited format. On request additional customer information can be included in a customisable text block. When you set up the system, you can decide whether label printing is performed immediately at creation time, after packing, or finally after posting the goods receipt.
  3. Data transfer to UPS: Via an additional message type, for each delivery data are recorded into an UPS related file on the SAP server. When the goods are collected, you start at the push of a button the secure data transfer to UPS (https protocol). At the same time a goods arrival list is printed for the truck driver for checking purposes. So the exact match between the data transferred and the actually shipped packages is always ensured. As an additional option a detailed report can be printed.
  4. Package tracking: With help of the 1Z number printed on the label, the status of any UPS packet can be tracked on the UPS homepage. In addition clavisEspressivo provides the option to track packages in the SAP system directly. The advantage: a user can find a packet also via the customer order or the shipping number.
